Dentavya ("we", "us") provides a patient portal for finding dentists and dental clinics and sending appointment requests, and clinic management software used by dental clinics. This policy explains what information we handle and how.

1. Who is responsible

For patient records kept by a clinic (case papers, treatment, prescriptions, bills, X-rays, consent forms), the clinic is responsible for that information and Dentavya processes it on the clinic's behalf. For portal accounts and appointment requests, Dentavya and the clinic you contact are both responsible.

2. Information we collect

  • Contact details: name, mobile number, email address, address.
  • Appointment requests: the clinic and doctor chosen, preferred date and time, reason for visit.
  • Health information recorded by your clinic: medical history, allergies, dental chart, treatments, prescriptions, images and documents.
  • Billing information: bills, payments and receipts. We do not store card numbers.
  • Technical information: pages visited, device and browser type, used to keep the site secure and working.

3. How we use it

  • To send your appointment request to the clinic and let you know when it is confirmed.
  • To send appointment reminders, prescriptions, bills and receipts by SMS, WhatsApp or email on behalf of your clinic.
  • To let clinics keep accurate treatment records as required for patient care.
  • To keep the service secure, prevent misuse and improve it.

Promotional messages (for example birthday wishes or check-up reminders) are sent only if you have not opted out. You can opt out at any time by asking your clinic or replying STOP where supported.

4. Sharing

We share your information only with the clinic you choose or that treats you, with service providers that deliver messages and host the service under confidentiality obligations, and where the law requires it. We do not sell personal information.

5. Security and retention

Access to clinic records is limited by user roles and every change is logged. Sensitive identifiers such as Aadhaar numbers are stored encrypted. Clinic records are kept for as long as the clinic needs them for patient care and legal requirements.

6. Your choices and rights

You can ask your clinic, or us, to see or correct your information, or to stop non-essential messages. Requests to delete records may be limited by medical record-keeping laws.
